At Draven Thron Chronicle Fitness, we're not in the business of selling your data or spamming you with nonsense. We collect what we need to run a solid gym and provide you with the best training experience possible. That's it.

This policy covers what info we grab, why we need it, and what we do (and don't do) with it. We operate under Canadian privacy laws, specifically PIPEDA, because we're based in Vancouver, BC.

Personal Identification Stuff

When you join up or book sessions, we're gonna need the basics - your name, email, phone number, mailing address, date of birth, and emergency contact info. Can't run a proper facility without knowing who's training with us.

Health & Fitness Data

Since we're doing serious athletic training here, we collect health information through our PAR-Q forms, injury history, fitness assessments, performance metrics, body composition data, and training goals. This isn't us being nosy - it's about keeping you safe and getting you results.

Payment Information

We process credit card info, billing addresses, and transaction history. Our payment processor handles the heavy lifting here - we don't store full credit card numbers on our end.

Technical Data

Like most websites, we collect IP addresses, browser types, device info, and how you interact with our site. Nothing creepy, just standard web analytics to make sure everything runs smooth.

Communications

If you email us, message us, or leave feedback, we're keeping those records. Helps us improve and makes sure nothing falls through the cracks.

We're not collecting data just for fun. Here's what we actually do with your info:

  • Running the gym: Managing your membership, scheduling sessions, processing payments, tracking attendance. Basic gym operations stuff.
  • Training you properly: Creating personalized workout plans, tracking your progress, adjusting programs based on your performance, making sure we're not prescribing exercises that'll mess you up given your injury history.
  • Keeping you in the loop: Sending class updates, schedule changes, new program announcements, and the occasional newsletter if you've opted in. We're not gonna spam you.
  • Safety first: Having emergency contact info on hand, maintaining health records for liability purposes, making sure our coaches know if you've got any medical considerations.
  • Legal compliance: Meeting Canadian business requirements, handling taxes, maintaining records for insurance purposes.
  • Improving our services: Analyzing what's working, what's not, which programs are popular, how we can serve you better.

Everything we do with your data ties back to making your training experience better or keeping the business running legally and efficiently.

We're not selling your info to third parties. Period. But there are some situations where we share data:

Service Providers

We work with payment processors, email service providers, scheduling software, and cloud storage providers. These companies only get what they need to do their job, and they're contractually obligated to keep your info secure.

Legal Requirements

If we're legally required to hand over information - court orders, subpoenas, regulatory requests - we'll comply. We'll also share data if we believe it's necessary to prevent harm or protect someone's safety.

Business Transfers

If we ever sell the gym or merge with another facility, your data would transfer to the new owners. You'd be notified if this happens.

With Your Consent

Sometimes we might feature member success stories or training photos on our social media or website. We'll always ask permission first. You can say no without any hard feelings.

We take security seriously because your health data and personal info deserve protection. Here's what we've got in place:

  • Access controls: Only staff members who actually need access to your info can see it. Our coaches don't have access to payment data, our admin staff don't need your full health records, etc.
  • Secure storage: Physical records are locked up. Digital records are stored on secure servers with regular backups.
  • Regular updates: We keep our systems patched and up-to-date to protect against known vulnerabilities.
  • Staff training: Our team is trained on privacy practices and data handling procedures.

That said, no system is 100% bulletproof. If there's ever a data breach that affects you, we'll let you know ASAP and walk you through what happened and what we're doing about it.

Yeah, we use cookies. Not the edible kind (though those are in the nutrition coaching program).

What We Use

Access Your Data

You can request a copy of all the personal info we have on you. Just email us and we'll get it to you within 30 days.

Correct Your Data

If something's wrong or outdated, let us know and we'll fix it. You can update most stuff yourself through your member portal.

Delete Your Data

Want us to delete your info? We'll do it, but keep in mind we might need to keep some records for legal or accounting purposes (tax records, liability waivers, etc.). We'll delete everything we're legally allowed to.

Opt Out of Communications

Don't want our emails anymore? There's an unsubscribe link in every email we send, or just tell us directly. You'll still get essential stuff like billing notices and safety alerts.

Withdraw Consent

If you've given us permission to use your data for something specific (like featuring you in marketing), you can change your mind anytime.

File a Complaint

Think we've mishandled your data? First, talk to us directly so we can make it right. If you're still not satisfied, you can file a complaint with the Office of the Privacy Commissioner of Canada.

We don't keep your data forever. Here's our retention schedule:

  • Active members: We keep your full profile and training data as long as you're training with us.
  • Former members: After you leave, we keep basic contact info and transaction history for 7 years (Canadian tax law requirement). Health and fitness data is deleted after 2 years unless you request earlier deletion.
  • Injury waivers and liability forms: Kept for 10 years from your last training session (insurance and legal requirement).
  • Marketing communications: If you're not a member and just on our mailing list, we'll purge your info after 3 years of inactivity.
  • Website analytics: Anonymized data is kept indefinitely, but personally identifiable data is purged after 26 months.

Once retention periods expire, we securely delete or anonymize your data. If you want us to delete stuff earlier (and we're legally allowed to), just ask.

We train athletes of all ages, including youth competitors. For anyone under 19 (age of majority in BC), we require parental or guardian consent before collecting any personal information.

Parents or guardians can access, review, and request deletion of their child's data at any time. All communication about training, progress, and billing goes through the parent or guardian.

We take extra care with minors' health information and never share it without explicit parental consent, except in emergencies where the minor's safety is at risk.

We might update this policy from time to time - new laws, new technologies, changes in how we operate. When we make significant changes, we'll let you know via email and post a notice on our website.

If you keep training with us after we've updated the policy, that means you're cool with the changes. If you're not cool with them, reach out and let's discuss your options.
